Multi-Phase Document Review for DOJ Merger Investigation

Client Facts–A market-leading law firm in Washington, DC recently hired AdamsGrayson Consulting to staff and manage an intensive document review project for a merger investigation. The firm represented both parties to the merger, highly-sophisticated technology companies, and the complex subject matter at issue required a significant number of contract attorneys, as well as several dozen foreign language reviewers, to examine the materials in a short timeframe.

AdamsGrayson Deliverables–Starting with 50 reviewers at first, the project ramped up, in 3 phases, to include over 110 contract attorneys and over 40 foreign language reviewers. Apart from their normal administrative responsibilities, the Project Managers worked around-the-clock to reconfigure the facility for each staff addition, coordinating extra training sessions and ensuring that information was communicated to all reviewers in a consistent manner.

Result–AdamsGrayson successfully staffed and managed this complex document review, saving their client time and money in the process. Most impressive to the firm was the ability to recruit additional reviewers—both attorneys and foreign language translatorsin a short period of time, and to reconfigure the review site to meet the demands of a rapidly expanding project.

In-house Legal Department

Client Facts—This AdamsGrayson project involved a nationwide class action lawsuit filed against a major telecommunications company under the Federal Communications Act involving a line item charge on inactive residential telephone bills.

The review project involved 10 licensed contract attorneys over a 3-month period, and was hosted at AdamsGrayson’s 1100 15th Street document review facility (more information on the review site is available here). Initially, the law firm team on site consisted of five individuals—two IT professionals, one associate, and two staff attorneys. As the project progressed, that number was reduced to one staff attorney, then ultimately, down to only the AdamsGrayson project manager. This progression saved the law firm valuable resources—and the client significant money—throughout the course of the project.

All of the documents in the review were in electronic format, with DocuMatrix serving as the online review tool. During the course of the project, approximately 350,000 documents were reviewed. This included the review of several thousand “hidden attribute” documents, and the redaction of several thousand electronic documents for confidential consumer information. Additionally, AdamsGrayson was called upon to interview and collect data from several custodians during the review at the client’s request.

AdamsGrayson Deliverables—Challenges met by the AdamsGrayson project management team included:

  • Staffing and retaining a core group of telecom-experienced reviewers throughout an intensive “stop and start” document review;
  • Reviewing documents alongside review team to ensure comprehensive subject matter knowledge;
  • Ensuring continuity throughout the review process via constant coding and subject matter updates;
  • Assisting the client with custodian interviews and
    data pulls; and
  • Providing 24/7 support for the client, including handling all administrative duties associated with the review.

Result—The AdamsGrayson project management model saved both substantial time for the law firm and money for the client by providing oversight, expertise, and administrative assistance throughout the course of the project.
